Job Purpose:

The Credit Officer, Security Perfection, is responsible for supporting the security perfection process for the bank’s credit facilities. This includes ensuring that all collateral documents are properly prepared, registered, and compliant with legal and regulatory requirements. The role provides operational and administrative support in managing securities and collaborates closely with internal and external stakeholders. The position reports to the Legal Manager, Credit Support and Enablement.

Key Responsibilities:

Security Documentation:

• Assist in preparing, reviewing, and processing security documentation, such as charges, mortgages, guarantees, and other collateral instruments.
• Ensure accuracy and completeness of security documents prior to registration with relevant authorities.
• Facilitate execution of documents by clients and ensure compliance with the bank’s legal and credit policies.

Security Registration and Perfection:

• Coordinate with external advocates, valuers, and government registries to facilitate the registration and perfection of securities.
• Monitor and track the progress of security perfection and ensure adherence to established timelines.
• Follow up on any discrepancies or delays in the registration process to ensure timely resolution.

Security Monitoring and Record-Keeping:

• Maintain an accurate and up-to-date record of all perfected and pending securities.
• Regularly update the security database and ensure proper documentation of all perfected securities.
• Assist in monitoring the renewal and rectification of expiring or defective securities.

Compliance and Risk Mitigation:

• Ensure all securities comply with applicable laws and regulations, such as the Land Act, Companies Act, and Central Bank of Kenya guidelines.
• Identify and escalate potential risks or issues in the security perfection process to the Legal Manager.
• Verify that all security documents meet the bank’s risk and credit requirements before credit disbursement.

Stakeholder Engagement:

• Work closely with credit administration, legal, and business teams to ensure smooth and efficient security perfection.
• Liaise with external advocates, valuers, and registries to facilitate security registration and resolve challenges.
• Respond to inquiries from internal stakeholders regarding the status of securities.

Reporting and Process Improvement:

• Prepare and submit periodic reports on the status of security perfection to the Legal Manager, Credit Support and Enablement.
• Identify opportunities for process improvements and recommend solutions to enhance efficiency.

Qualifications and Experience

Bachelor’s degree in business administration, Law, Finance, or a related field.
Training in credit management or security documentation is an added advantage.
At least 3 years of experience in credit administration, legal operations, or a related role in the banking or financial services sector.
Experience in security documentation and registration processes is preferred

Knowledge, Skills & Competencies

Strong understanding of security perfection processes, including legal and regulatory requirements.
Excellent organizational skills and attention to detail.
Good communication and interpersonal skills to engage with stakeholders.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Proficiency in Microsoft Office applications and familiarity with credit management systems.
